Privacy Policy

This Privacy Policy explains how BookMeNow (“BookMeNow,” “we,” “us”) collects, uses, and protects information when you use our booking platform at bookmenow.me and related booking pages. BookMeNow is a booking and scheduling platform that helps service-business owners (coaches, consultants, salons, clinics, trades, photographers, tour operators, driving schools, personal trainers, and similar solopreneurs) share a booking link, display their own price and payment instructions, and sync appointments to their calendar. BookMeNow does not collect appointment or deposit payments from customers and does not handle customers’ payment-card details.

1. Who this policy applies to

There are two groups of people who interact with BookMeNow:

  • Booking providers (owners): people who create a BookMeNow account to offer services, set availability, and accept bookings. Owners collect any payment for their services directly from their customers. If you connect Google Calendar, this policy’s Google Calendar section applies to you.
  • Customers (bookers): people who book an appointment with a provider through a BookMeNow booking page. Customers do not need a BookMeNow account and book as guests.

2. Information we collect

Account & profile data (providers). When you create a BookMeNow account we collect your email address and a password (passwords are hashed by our authentication provider and never stored in plain text). We also store the profile details you enter — display name, business name, timezone, and any business logo or headshot photo you upload.

Booking & contact data (customers). When a customer books an appointment, we collect the name, email address, phone number, and any notes they enter, along with the requested appointment time and time zone. A customer’s phone number and email are required so the provider can confirm and reach them about the booking.

Subscription billing data (providers only). BookMeNow does not collect appointment or deposit payments from customers, and we never receive or store customers’ payment-card details for a booking. Any price shown on a booking page is set by the provider, and the customer pays the provider directly using the provider’s own instructions. Where a provider subscribes to a paid BookMeNow plan, that subscription charge is processed by our payment processor, Stripe; BookMeNow does not receive or store the full card number, and we retain only the subscription status, amount, and currency needed to operate the account.

Usage & technical data. We log basic technical information needed to operate the service, such as the booking page visited, approximate request times, and error information needed to diagnose problems.

3. Google Calendar data handling

BookMeNow offers optional Google Calendar integration. Connecting Google Calendar is voluntary. If a provider chooses to connect, BookMeNow accesses Google user data only to power the booking features the provider asked for.

What Google data we access:

  • Calendar availability (free/busy): we read the provider’s connected Google Calendar busy times so that existing events and bookings remove overlapping available booking slots and prevent double-booking.
  • Calendar event data: when a booking is confirmed or approved, we create, update, or delete a corresponding event on the provider’s connected Google Calendar so their calendar reflects their BookMeNow bookings.
  • Connected Google account email / profile identifiers: we retrieve the email address of the connected Google account so we can display which account is connected and manage the connection.

Why we use it: Google Calendar data is used solely to check availability, prevent double-bookings, and keep the provider’s Google Calendar in sync with their BookMeNow bookings.

How we store it: When you connect Google Calendar, Google grants BookMeNow an OAuth access token and (where provided) a refresh token so the integration can keep working without repeatedly asking you to sign in. These tokens are stored securely on our servers and are used only to perform the calendar actions described above. We do not claim any specific encryption implementation beyond secure server-side storage.

No sale, no advertising: We do not sell Google user data, and we do not use Google user data for advertising purposes.

Limited sharing: Google user data is shared only with service providers and processors necessary to operate BookMeNow (for example, our hosting and authentication providers). We do not share Google user data with any third party for that third party’s independent purposes.

Disconnect & revoke: You can disconnect Google Calendar at any time from your BookMeNow Settings. Disconnecting removes the stored connection. You can also revoke BookMeNow’s access to your Google account at any time in your Google account security settings; after revocation, BookMeNow can no longer read or change your Google Calendar data.

Google API Services & Limited Use: BookMeNow’s use and transfer of Google user data to any other app or service as part of our integration adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only request the calendar scopes needed for the features above.

4. How we use your information

  • To create and operate booking pages and process appointment requests and confirmations.
  • To send booking confirmations, reminders, and provider notifications by email (transactional messages necessary to run the service).
  • To prevent double-bookings by combining BookMeNow bookings with the provider’s connected calendar availability.
  • To bill providers for a BookMeNow subscription through Stripe and maintain subscription records.
  • To provide account support and respond to support requests.
  • To operate, secure, and improve the BookMeNow service.

We do not use your information to profile you for advertising or to sell it to third parties.

5. Cookies & similar technologies

BookMeNow uses only the cookies necessary to operate the service. Our authentication provider sets session cookies so you stay signed in to your account. A small preference cookie may remember a UI state (such as sidebar position). We do not use advertising cookies or third-party advertising or analytics-tracking scripts to follow you across other sites.

If we add analytics in the future to understand aggregate usage, we will update this policy first.

6. How we store & secure information

Account, booking, and calendar data are stored with our hosting and database providers. Payment-card data for a provider subscription is handled directly by Stripe under its own security standards; we hold no customer booking-payment card data at all. Google OAuth tokens are stored securely on our servers and accessed only to perform the calendar actions described above. We apply access controls so that only the systems and people who need access to operate the service have it. No method of storage or transmission is fully secure, but we work to protect your information using reasonable technical and organizational measures.

7. Sharing & service providers

We share information only as needed to operate BookMeNow and as described in this policy:

  • Stripe — processes BookMeNow provider subscription billing where applicable. Stripe is not used to process customers’ appointment payments.
  • Google — for the optional Google Calendar integration, as described above.
  • Hosting, database & email providers — to host the service, store data, and send the transactional emails (confirmations, reminders, owner alerts) that bookings depend on.

We do not sell your information. We may disclose information when required by law or to protect the rights, safety, or property of BookMeNow, our users, or others.

8. Retention

We keep your account and booking data for as long as your account is active and as needed to provide the service and maintain records of bookings and subscription billing. If you delete your account, we will remove or anonymize your personal information in line with our normal retention practices, except where we are required to keep records (for example, for legitimate billing or legal-record purposes).

9. Your choices

  • You can update your profile and business details in Settings.
  • You can connect or disconnect Google Calendar at any time in Settings.
  • You can request that we delete your account and associated personal data.
  • Customers can contact the provider directly to request changes to their booking details; providers manage their own bookings in their dashboard.
  • Transactional emails include an unsubscribe mechanism where applicable.

10. Children’s privacy

BookMeNow is not directed at children and is not intended for use by anyone under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will take steps to delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Effective date” above and, where appropriate, notify you. Continued use of BookMeNow after a change means you accept the updated policy.
